This role leads day-to-day legal administration and governance support within a growing financial services business. The successful candidate will coordinate corporate records, board and shareholder materials, entity maintenance, contract administration, and outside counsel activities. The position is not limited to licensed lawyers, but it does require substantial experience in legal operations, corporate housekeeping, law firm administration, senior paralegal work, or a similar environment.
Core responsibilities include organizing minute books, resolutions, annual filings, and other governance documents; preparing materials for board meetings and approvals; and helping manage entities across multiple jurisdictions. The role also involves reviewing, tracking, and filing a wide range of commercial and employment agreements, maintaining contract systems, and monitoring renewals and key obligations.
In addition, this person will act as a main contact for external legal advisors, support litigation file administration, help manage legal budgets, and contribute to process improvements and document management. The role will assist with regulatory submissions, licensing-related records, and responses to compliance inquiries, working closely with internal teams and counsel as needed. Support for employment matters, transaction due diligence, data room coordination, and intellectual property recordkeeping is also included.
Candidates should have at least eight years of relevant experience, strong attention to detail, excellent communication skills, and the ability to handle confidential information with care. Experience with corporate records systems, contract tools, and common office software is preferred.
